We're looking for a Workplace Experience Manager (Maternity Cover) whose mission is to be the driving force behind creating a safe, efficient, and welcoming office environment that supports our team’s productivity and well-being.

Our two office locations, White Lion Street and The Yard, are where the magic happens at Automata. The Workplace Experience Manager keeps these spaces running smoothly so our teams are able to perform their best work - making the role crucial to the overall success of the business.
You will be responsible for:
Office Maintenance and Safety:
Conduct daily checks to ensure all office equipment is functioning and safety standards are met.
Manage air conditioning settings and maintenance.
Oversee the cleanliness and organisation of meeting rooms and common areas.
Visitor and Delivery Management:
Coordinate visitor notifications and ensure proper greeting and assistance.
Manage incoming deliveries and their distribution.
Employee Support:
Respond to and manage office-related requests from employees.
Oversee the onboarding and offboarding processes for new hires and leavers.
Maintain office supplies and equipment, ensuring they are well-stocked and functional.
Administrative Tasks:
Approve and manage invoices and payments.
Organise and maintain health & safety records and meetings.
Assist with client meetings, including logistics and hospitality.
Project and Event Coordination:
Manage annual and bi-annual assessments and renewals, including risk and fire safety.
Coordinate large projects such as insurance renewal.
Collaborate with the Leadership Team on our Team Events
What it takes:
Organisational Excellence: Strong ability to multitask and manage various office functions efficiently.
Communication: Excellent verbal and written communication skills for interacting with employees, visitors, and vendors.
Problem-Solving: Proactive in identifying issues and implementing solutions.
Technical Proficiency: Comfortable using office management software and tools (e.g., Asana, Slack, Spendesk).
Leadership: Capable of managing a team and coordinating across multiple departments.
Attention to Detail: Ensures all tasks are completed to the highest standard.
