We're seeking a highly organized and proactive Business Administrative Assistant to support our leadership team and the growing needs of our startup’s Colombian entity. In this role, you will play a crucial role in ensuring the smooth functioning of our organization by providing administrative support, accounting and compliance assistance, onboarding work, managing schedules, coordinating meetings and travel, approving expenses, and handling various tasks to assist our leadership and local SAS team. The ideal candidate will have excellent communication skills (English required), attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
Manage executives' calendars (CTO/SAS Entity Head), schedule meetings, and coordinate appointments
Provide overall support to the leadership team on an as-needed basis
Prepare and organize documents, reports, and presentations
Handle select executive-level correspondence
Make travel arrangements and manage itineraries for executives and larger team initiatives
Assist in preparing meeting agendas, taking minutes, and following up on action items
Handle confidential information with utmost discretion
Perform general administrative tasks such as filing, data entry, and record keeping for various project and function areas, especially for the SAS entity
Act as a liaison between executives and other team members
Partner frequently and effectively with our accountants and legal counterparts in Colombia
Manage and approve expenses for the organization
Support priority projects and initiatives
Requirements:
Proven experience as an executive assistant or similar role supporting executives
Exceptional organizational, budgeting, and time management skills
Excellent written and verbal communication skills in English
Previous experience working in a fast-paced, high-tech environment
Proficient in Google and Microsoft Office Suite
Strong attention to detail and problem-solving abilities
Ability to handle multiple tasks and prioritize effectively
Ability to maintain confidentiality and exercise good judgment
Flexibility and adaptability to changing priorities
Professional and friendly demeanor
Willingness to work across time zones
Can-do and helpful attitude
Previous experience in a global company is preferred
