We are looking for an Assistant Office Manager Intern to support the Office Manager in our Paris office. This is a full-time, in-person role based in Paris and is not compatible with remote work.
Working closely with the Senior Office Manager, to whom you will report, you will have a varied role.
The internship is for 6 months and should start in February 2025.

RESPONSIBILITIES

  • Reception: Welcoming office visitors, candidates, new employees, partners, and investors; collecting office deliveries; and managing the phone and intercom.
  • Office: Ensuring that the office and terrace are tidy and spotless, reflecting our brand image, with the help of an office and cleaning service supply company.
  • Supplies Management: Ordering and managing supplies inventory and replenishment orders (computers, snacks, coffee, fresh drinks, machines, etc.), managing service providers (cleaners, gardeners, etc.), dealing with technical issues (electricity, plumbing, air conditioning, etc.), and ensuring all office equipment is working properly.
  • Employee Management: Onboarding and offboarding employees, managing employee access for software including Slack and Google Workplace.
  • Event Organization: Organizing regular internal events for employees (barbecues, welcome/farewell drinks), offsites, and supporting ad hoc external-facing events with our communication team.

SPECIFIC SKILLS

  • Fluent in French and English: 30% of the people at Typology don’t speak French.
  • Strong Organizational Skills: Highly organized and able to keep track of multiple tasks and priorities.
  • Excellent Communication Skills: Essential for effectively liaising with the teams and, including strong writing and verbal skills.
  • Flexibility and Task Orientation: Ability to focus on and complete sometimes small, mundane, and often tedious tasks essential for smooth operations. Willingness to perform various tasks, no matter how small or seemingly insignificant. This might include making coffee, running errands, or organizing files.
  • A Caring Demeanor: Compassionate, empathetic, and attentive to the needs of others. Essential for anticipating and meeting the needs of the founder and creating a positive and welcoming workplace environment.
  • Proactive Problem-Solving Abilities: Able to anticipate potential problems and address them before they escalate. Resourceful and able to find solutions even with limited resources.
  • Attention to Detail: Keen eye for detail, whether for an office space or for a document.
  • Positive Attitude: Approachable and maintains a positive attitude, even under pressure or in challenging circumstances.

PROFIL

  • Currently pursuing a second-year degree in Business Administration, Office Management, or a related field.
